Team

Give colleagues their own login, set their role and keep track of who works with Repairflow in your shop.

In Team you manage the colleagues who work in your shop with their own login. Every colleague has a role, and that role decides which pages, settings and point of sale functions they see. Your own account as the shop owner is not in this list: that is the shop account itself.

Where to find it

At the bottom left of the sidebar, click the row with your shop name. This opens the Shop menu. Choose Team there. You then arrive in Settings on the Employees tab, in the Team group.

The Team item is only in the Shop menu of the owner and the manager. A technician does not see it.

The team overview

The overview is one card with the title Team and, at the top right, the Add Employee button. The table shows for each colleague:

  • Name, with a circle showing the initials.
  • Email and Phone.
  • Role: Owner, Manager or Technician.
  • Status: Active, Invited (the colleague has not accepted the invitation yet) or Inactive.
  • Actions: the menu behind the three dots, with Edit and Delete.

On a narrower screen, Phone disappears first, then Email and Role. Name, Status and Actions always stay visible.

Inviting a colleague by email

The Team page itself has no button to invite someone. You send an invitation from the setup guide that you go through as the owner when your shop starts, in the step Who works with you?. As long as you have not finished the setup guide, you open it through the progress card on the Dashboard. Only the owner can invite.

  1. Enter your colleague’s name and email address.
  2. Choose the role: Technician, Manager or Owner.
  3. Click Invite.

Your colleague receives an email in your shop’s house style and language, with a link. Through that link they choose their own password and are signed in straight away. The link works for 7 days. While the invitation is open, your colleague is shown in the overview as Invited and cannot sign in yet. If a link has expired, click Send again next to your colleague in the same step.

Adding a colleague directly

With Add Employee you create an account yourself, without an invitation.

  1. Enter Name, Email and Password, and optionally Phone number.
  2. Click Add employee.

The colleague is active immediately and always gets the Technician role. You pass the password on yourself. A password has 8 to 128 characters, with at least one lowercase letter, one uppercase letter and one digit.

Editing or deleting a colleague

Open the menu with the three dots behind the colleague.

  • Edit changes the name, the email address and the password. Leave the password field empty to keep the current password.
  • Delete asks for confirmation first and then deletes the account permanently. You cannot undo this.

There is no button to switch someone off temporarily. If you want to take away someone’s access, you delete the account. The role of an existing colleague cannot be changed after the account has been created.

Who can do what

  • Owner: everything, including Team, Subscription and billing, Online booking, the activity log and the setup guide.
  • Manager: almost everything, except Profile & opening hours, Legal, Billing, the Online booking setting and the activity log.
  • Technician: the Dashboard, repairs, requests, customers, inventory, the Order list, the Calendar and the Point of sale. In Settings, a technician only sees the Help Center.

Point of sale rights per role

  • Everyone may sell, including a technician. A technician may also throw away their own draft.
  • Giving a discount, refunding, voiding a sale, booking money into or out of the register and closing the register are for the owner and the manager only.
  • Viewing reports and receipts and invoices, correcting inventory and managing subscriptions are also for the owner and the manager only.

Point of sale rights follow the role. In the app you do not switch individual rights on or off per colleague.

My profile

A colleague with their own login manages their own details. Click your avatar at the top right and choose My profile.

  1. Under My details, change your name or phone number and click Save.
  2. If you want a new password, enter your current password under Change password, then the new one twice, and click Change password.

Your email address and your role are shown for information only; the shop changes those. The owner does not see My profile: their details are in Settings under Profile & opening hours.

Shifts and leave

You plan your team’s schedules, shifts and leave in the Calendar. When a colleague is given a shift or leave by someone else, only they receive a notification about it. See the Calendar chapter.

Tips

  • Invite colleagues by email while the setup guide is still open: they then choose their own password and you have nothing to pass on.
  • You can only create a manager or a second owner with the invitation; adding directly always gives the Technician role.
  • Delete the account of someone who leaves straight away, so they can no longer sign in.
  • Let colleagues fill in their own name under My profile: that name appears on receipts and in the activity log.
